Research Brief - November 21, 2025
Course: SPCH-1321 Business and Professional Communication
This research explores how artificial intelligence has transformed modern business communication. Many companies now use AI tools for email writing, data analysis, customer service chatbots, and internal communication. While these tools significantly improve efficiency and productivity, they also raise important questions about authenticity, privacy, and ethical considerations in professional settings.
AI tools like ChatGPT, Grammarly, and automated chatbots are now widely used across various industries. These technologies help professionals write faster, translate languages, and research information more efficiently. AI makes communication more consistent and efficient, particularly beneficial in hybrid workplaces where teams operate across multiple locations.
AI's ability to polish writing and adjust tone enables professionals to present a more confident and refined personal brand. Users can craft clearer emails and stronger presentations, improving message delivery. However, excessive reliance on AI may weaken individual voice and make communication feel less authentic. A strong professional brand requires knowing when to leverage AI assistance and when to communicate authentically.
The implementation of AI in workplace communication raises several ethical concerns including transparency, originality, and data privacy. AI systems require vast amounts of data to function effectively, often sourced from company information, which creates significant risks for data breaches without robust cybersecurity measures. Professionals must be transparent about their AI usage, especially in roles requiring original writing or independent thinking. Privacy concerns arise as AI tools store and process company data, making it essential for professionals to understand organizational policies and use AI responsibly to avoid plagiarism, misinformation, or confidentiality breaches.
AI has become integral to workplace communication and can enhance professional branding when used strategically. However, it demands strong ethical awareness from users. The most successful professionals will be those who effectively combine AI capabilities with their own judgment and communication skills to create authentic, efficient, and ethical workplace interactions.

Dear Hiring Manager,
I'm reaching out to apply for the Junior Backend Developer intern position. I'm an aspiring software engineer with a strong interest in backend development, data analytics, and building reliable systems that can scale. As a student with focused discipline and unique ways of problem-solving, I'm confident in my skills and looking for an environment where I can learn from experienced developers while contributing real value to the team.
Through my coursework and side projects, I've worked with languages like Java and Python and have practiced basic backend concepts such as APIs, databases, and server-side logic. I enjoy breaking down big problems into smaller ones to focus on each of them to solve them faster. I've also learned how important clear communication isβfor example, in a group, your code needs to be clean and readable for other classmates to understand and work on it.
I would appreciate the chance to bring my focus, curiosity, and drive to your team. Thank you for considering my application. I look forward to the opportunity to learn more about the role and how I can contribute.
Sincerely,
Khoi Ho
